We’re looking for highly organized and customer-focused Service Coordinator to support a team of five Industrial Mechanics, servicing industrial rotating equipment across Alberta, Saskatchewan, and Manitoba — someone who thrives in the industrial world, understands the pace and demands of service scheduling, and is motivated to help customers.

The Opportunity

This temporary contract covers a parental leave, so is expected to be a minimum of 12 months.

In this role, you will manage the full-service lifecycle—from the first customer call through to job completion—playing a critical role in ensuring efficient scheduling, accurate quoting, and an exceptional customer experience. You will work closely with Service Leads, Technicians, Inside Sales, and Warehouse teams, using Outlook Calendarand SAP (ERP/CRM) as core daily tools.

What You’ll Do

  • Act as the primary point of contact for incoming service requests, including breakdowns, call-outs, maintenance, and preventative maintenance.
  • Assess service requests to determine scope, urgency, estimated labour hours, technician capability, and parts availability.
  • Schedule and coordinate five Service Technicians across Edmonton, Calgary, Saskatoon, and Winnipeg.
  • Collaborate with Service Leads to prioritize work, allocate resources, and manage schedule changes.
  • Provide ongoing support to in-field and in-shop technicians, including parts coordination, purchase orders, and resolving scheduling conflicts.
  • Prepare service quotes, proposals, preventative maintenance renewals, and equipment spares lists in collaboration with Service and Sales teams.
  • Convert approved quotes into service work orders and customer orders in SAP.
  • Review accurate documentation of labour, materials, and expenses to support billing and reporting.
  • Track service progress, coordinate job close-out, customer confirmation, and invoicing.
  • Conduct pre- and post-service customer calls to confirm scheduling, satisfaction, and identify future service needs.
  • Coordinate with Warehouse teams and other branches to ensure parts, tools, and equipment are ready for service work.

What You Bring

  • 3+ years of experience in service coordination, dispatch, or operations support.
  • Experience in industrial, mechanical, or rotating equipment environments is strongly preferred.
  • Experience using ERP/CRM systems; SAP is a strong asset.
  • Proficiency with Outlook, including calendar-based scheduling.
  • Strong organizational skills with the ability to manage multiple priorities across multiple locations.
  • Excellent written and verbal communication skills.
  • A customer-focused mindset with strong attention to detail.
  • Ability to problem-solve, prioritize effectively, and remain calm in a fast-paced environment.
